Enquiries and briefs

The public enquiry form saves the business name, reply email address, and marketing request message in an enquiry record. The private brief can add business context, category, audience, platforms, goals, requested formats, timing, quantities, and optional brand guidance. Staff-entered enquiry records can also include a contact name and phone number. Authorized Nooktempo staff can review these records in the staff workspace.

Uploaded materials

Files attached to a private brief are stored through Polsia file storage. The enquiry record keeps a file reference and the filename, file type, size, and upload time so the material can be associated with that enquiry and reviewed by Nooktempo.

Quotes, decisions, and jobs

Each quote version records its scope, deliverables, price, timing, exclusions, payment instructions, cancellation terms, expiry, and decision. A customer’s decision note and decision time are saved with that version, along with a snapshot of the brief and material references used to prepare it. Accepting an offer creates a job with a copy of the accepted quote version; later quote versions do not change the job’s agreed terms.

The job record includes its status, customer and staff replies, and delivery summary, optional delivery link, and recorded delivery time when delivery is entered. A reply sent from the job page is saved in its job history.

Private enquiry links

A private enquiry link opens the related brief, quotes, and job without an account. Possession of the link allows access to that enquiry and its available actions, so keep it private. The app stores a hash of the link token and an encrypted copy used to include the existing link in notification emails.

Email notifications

The app asks Polsia’s email service to send some enquiry, quote, and job notifications to the reply email address on the enquiry, and to send quote-decision notices to Nooktempo’s company inbox. These messages can include the relevant enquiry note, quote terms or decision, job update, and private dossier link. For customer lifecycle notifications, the app records send attempts and whether the email service accepted a send; acceptance does not confirm delivery to an inbox. A customer reply saved from the job page does not itself trigger an email notification.

Record timing

These app flows do not specify an automatic deletion period or provide a customer deletion control for enquiry, quote, or job records. This page does not set a retention period.
